Memo management for government and state corporations

In the public sector, the memo is how authority is exercised: spending is approved, staff are deployed and instructions are given. Smart Memo moves that work off paper while keeping the formality, the stamps and the record that public institutions are held to.

Built for: Ministries, departments and agencies, state corporations, county governments, regulators and constitutional commissions.

What gets in the way today

Files that physically move

Memos travel between offices and buildings, and stop when an officer is on leave or in the field.

Audit queries on authority

Auditors ask whether each approval was made within delegated authority, and the evidence is scattered.

Acting appointments

Officers act for each other constantly, and paper routes cannot follow who holds authority today.

How Smart Memo fits

Your DoA, enforced

Routes follow your delegation instruments by amount, unit and memo type, including acting officers for a set period.

Formality kept

Reference numbers, letterhead, signatures and official stamps on every approved memo.

Records that last

Retention rules, a tamper-evident history and evidence packs for the Auditor-General and oversight bodies.

Hosting choices

Cloud subscription, or an on-premises licence for institutions that must host internally.

Frequently asked questions

Can Smart Memo be hosted on our own servers?

Yes. Government buyers who must host internally can take an on-premises licence with annual maintenance. Everyone else uses the cloud subscription.

Do digital approvals replace the official stamp?

The approved memo carries each approver's signature and your official stamp image, and a QR code that lets anyone verify it is genuine.
