Encrypted in transit
All traffic to Smart Memo runs over HTTPS with TLS.
Microsoft sign-in
Staff can sign in with their Microsoft accounts, and Institutional adds enforced single sign-on through Microsoft Entra ID.
Role-based access
Permissions are granted by role. Each module has its own permission, and none is given by default.
Tenant isolation
Each organisation's data is separated and every query is scoped to the organisation.
Tamper-evident records
Documents and work items carry a hash-chained evidence log. Any edit or deletion breaks the chain and shows on verification.
Retention controls
Completed documents inside their retention period cannot be deleted or archived.
Privacy-aware notifications
Escalation notices carry the memo title, never its content. WhatsApp messages go only to people who opted in.
Hosting choice
Cloud subscription by default, or an on-premises licence for government institutions that must host internally.
