Why we built Smart Memo

We spent years implementing systems for ministries, state corporations, banks and NGOs. In almost every one, the real work of deciding still ran on memos: printed, signed, carried from office to office, or forwarded around email until someone lost track.

The tools on offer did not fit. Document systems stored the memo but did not know who was allowed to approve it. Workflow tools could route it, but someone had to build and maintain every rule. Task tools tracked lists, but had no idea a decision had ever been made.

Smart Memo is memo management and approval software that puts your Delegation of Authority to work: every memo and request goes to the person allowed to approve it, is signed and stamped, becomes tracked work with an owner and a deadline, and leaves a record your auditors accept.

Who we are

Smart Memo is built by Sibasi Ltd, a software company in Nairobi. We also build eBoard for board governance, the eGRC Suite for risk and compliance, and Monival for monitoring and evaluation. Smart Memo works alongside them: board resolutions in eBoard become work in Smart Memo, and policy attestation can run in either Smart Memo or eGRC.
